A panel of individuals with experience in grants management will provide their perspectives on creating grant applications and share their ideas of what might improve an application's use. The panel discussion will be followed by a working session. All attendees are required to bring a hard copy of their organizations’ applications in order to receive feedback from their peers based on information received during the panel section.

Staff from the SCAN Foundation will discuss how they developed an evaluation process. They will also review current best practices in capturing and reporting evaluation data and will share the results of an Evaluation Survey that was distributed to members of the Grants Managers Network.

As the nonprofit community's interest in global philanthropy has risen, more private foundations are awarding grants for charitable purposes to non-U.S. based organizations. This session will go beyond the basics of international giving and explore best practices in giving outside the U.S. through Equivalency Determination (ED) or Expenditure Responsibility (ER). You will learn about the benefits and challenges of each alternative, how to integrate these practices into your grantmaking, and how best to get the information you need from your applicants. You also will develop a clear understanding of how to create a coherent and workable process that complies with the myriad laws surrounding charitable giving abroad. If time permits, there will be a brief discussion regarding grants to for-profit entities, issues to be aware of regarding grants to supporting organizations, and why you may or may not wish to make a grant to a "friends of" organization.

Further develop your understanding of how to prepare for a financial audit through this unique, side-by-side view of an organization being audited and the firm doing the audit. By providing a transparent perspective of both participants in the audit, this session will help you to develop a strong sense of not only what you need to do to prepare for an audit, but why you need to do it. This session is designed for individuals who will be the first line of contact with the auditing firm and for those who must organize and retain information on an ongoing basis in preparation for audits.

In 2011, the GMN Grantmaking Gone Green Team (G4) challenged GMN members to go on a “paper diet” to see if grants managers could curb paper use at their organizations. To aid “dieters” in this task, G4 began sharing tips and tricks on how to decrease paper usage, with particular attention to implementing electronic processes. This session will share some results of the paper diet and look at how to manage the shift to electronic processes for grantmaking, file retention, board books, payments, and communication. The presenters will focus on how to implement new processes and procedures, including staff buy-in, sharing best practices, and proven methods in creating change.

Integrating diversity is a hot topic in philanthropy. Countless initiatives and programs seek to ensure grantmakers are meeting the needs of all communities. How can you track and evaluate the diversity of your current and potential grantees, and what systems need to be in place to ensure that you meet your organization’s goals around diversity? This session will build on the knowledge of grants managers and highlight the unique role that grants management plays in data collection, management, and analysis.

Investing staff time into improving and streamlining grant application and reporting processes is important. Working with staff so they understand the organization’s needs and have buy-in into the streamlining process is critical. Can things be done easier? What needs streamlining? What is the best approach? Come learn how different philanthropic organizations have taken on this challenge. Hear how they have developed and implemented their plans, and learn what impact this has had on their overall grants management and foundation goals.

This session will include an in-depth look into the rules for funding advocacy activity. Topics will include general support and project support grants for charities that lobby. Substantial time will be spent on the IRS definition of lobbying so that you can understand when these rules apply. Topics will also include funding non-partisan political activities (e.g., voter registration, candidate debates).

Come hear the stories of grants management professionals from different size organizations and what they wished they knew before they selected an online grantmaking software program and implemented it. Speakers will share their experience with various phases of the project: the selection process, implementation, receipt, review, and reporting. Each speaker uses different software and offers a unique perspective. Resources from the program management perspective will also be shared. If your organization is considering a move to an online application process, or if you are in the middle of this transition, this session is for you.
